Jobs Within the Club: How You Can Help Make ACUG a Great Club
Club Officers, Board of Director Position
President: The President prepares the agenda for and presides over the General
Meetings. The President ensures the delivery of the group's mission to its members, and
serves as the overall representative of the user group to the public. The President might give presentations to other groups about ACUG or do interviews with newspapers, radio or television. As President, you would also serve as the Chairman of the Board of Directors and attend Board meetings as a voting officer. In addition, you would write a Column monthly in the Bytes and Bits Newsletter, and provide overall direction to the club. The President also manages the club equipment and setting up of equipment for the General Meeting.
Vice President: The Vice president presides over the General Meetings in the
absence of the President. You would help the President prepare the agenda and present it
to the membership at the General Meeting. You would also perform administrative duties as
assigned by the President and might write a column in the Bytes and Bits Newsletter. In
addition, you would attend Board Meetings as a voting officer. The Vice President assists
the President in the management of club equipment and setting up of equipment for the
General Meeting. The Vice President also assists the President in giving presentations to other groups about ACUG or in doing interviews with newspapers, radio or television.
Secretary/Treasurer: This job can be separated into two jobs: Treasurer -
Administers the corporate accounts, books and financial records and performs all
transactions related thereto. Secretary - Administers the corporate records, including
the proceedings of all meetings, and takes minutes. Copies of the previous month's minutes
should be distributed to all the officers and members of the Board each month. In
addition, you would report on the Board meeting to the general membership by writing a
monthly article for the "ACUG Board Meeting Notes" column in the Bytes and Bits
Newsletter. The Secretary is also responsible for making sure that a full copy
of the membership list is given each month to the Membership Chair, the Editor,
the Webmaster, and a shortened copy without addresses, phones or email, but
including names and membership expiration, to be given to the Library
Committeeperson - Lending Library to enable lending of books, etc. to members,
also to Goldrush
World Access ISP, and Webcentric Computer Services for their records in giving members a discount for Internet
access or other services. The Secretary is also responsible for printing out club badges for new
members, and coordinating with the Membership Chair. Any electronic records of a historical nature should be copied
to CD and stored in a safe place for access by members.
Director:
Becoming a Director involves attending the Board meetings currently held on the first
Thursday after
the Tuesday General Meeting, at 2 PM, [the meeting place and time is subject to change] and discussing the direction the club needs to take, ways to improve the programs, etc. and voting on decisions. This position could be held in addition to any other non-voting position, however, only one vote per member of the Board is allowed. There
is currently one At-Large Director that serves on the Board. Directors may perform duties as assigned by the President.
Past President: The Past President is a non-elected voting Member of the Board, who serves as
an advisor to the President and the Board and may perform duties as assigned by the President. The Past President also serves as the tie-breaking vote on the Board
if necessary.
Program Director: The job of Program Director involves contacting vendors and vendor's representatives (hardware and software; local, regional and national) by email, phone, fax, snail mail, and in person, regarding presentations, obtaining review products, door prizes or raffle prizes, working with the group, special events, and other activities. The Program Director
must utilize a street address as the shipping address for ACUG. The Program Director works with and assists the President and Vice President planning the General Meeting, including speakers, presentations, demos, etc. Periodically
the Program Director must query the members to identify speakers and programs of interest, satisfaction and dissatisfaction. The Program Director handles the giving out of software for review, and schedules both written reviews and demos of the software by members. In addition, you must follow up by emailing reminders to members doing reviews and demos, and mail a copy of ACUG's newsletter with the review to the appropriate vendor. The Program Director may liaison with other clubs in the area with the idea of coordinating vendor visits. The Program Director may require Committee Members to assist.
Publicity Director: The Publicity Director is responsible for contacting the local
newspapers and other media such as the Amador Ledger-Dispatch, The Calaveras Enterprise, the West Point News, KNGT local radio and other possible venues, and sending them publicity
releases on our monthly meetings, elections and special events such as community service,
awards, or vendor demonstrations. This information is available from the ACUG Webpage along with the SIG schedules, etc. or from one of the officers of the Board of Directors. The Amador Ledger-Dispatch has a hand-out on how to submit articles and notices to their Community Calendar page. You should be able to submit photos and an article to their Community Calendar
and Community Life pages for the January Inauguration of Officers. In addition, you can contact the local radio station KNGT, and the local cable access channel and submit your publicity to their Community Calendars, or schedule personal appearances. You would also work closely with the Program Director. You might promote the club by placing hand-outs such as brochures, business cards and newsletters in strategic places, such as the high school libraries, public library, Chamber of Commerce office, computer stores and outlets, etc. The Publicity Director may require Committee Members to assist.
Appointed Positions:
Newsletter Editor: The Editor is responsible for the entire production, and printing of
Bytes and Bits newsletter. ACUG will supply the appropriate software to accomplish the job, which remains the property of ACUG.
You must remind your columnists to send you copy before the deadline, and then
proof-read, edit it and place it in the newsletter in the appropriate columns.
The Editor should appoint other proof-readers to assist. The Editor writes the
"Editors Corner" column, updates the "Board of Directors" column, the "Special
Interest Group Meetings" column, the "Schedule of Events" column, writes or
arranges for the writing of This "Month's Meeting" column, last month's
[example] "July Meeting" column [currently done by the Webmaster], selects
seasonal graphics, looks for and gets permission to reprint articles from the
World Wide Web, magazines and other sources, handles advertising from vendors
and local businesses, classified ads from members and places them where
appropriate in the newsletter. After assembling the newsletter, it converted to
Adobe PDF format and a copy sent to the Webmaster and to Circulation who
broadcasts it by email to the membership. All before deadline!
Assistant Newsletter Editor: The Assistant Newsletter Editor proof-reads, picks up, sends,
copies, substitutes for and otherwise assists the Editor to get the newsletter
out by deadline. The Assistant Newsletter Editor may also write articles for the newsletter.
Circulation: is responsible for the membership roster and maintains the
email list. Circulation receives the PDF, sends out and otherwise assists the Editor to get the
PDF newsletter out by deadline. Position currently held by the Secretary/Treasurer because of
the need for an updated database.
Software Library Chairperson: The Software Library Chair does the whole club a great
service, and the job requires at least three, preferably four committee members to assist. The job involves over-seeing the setting up of a Library display before each General Meeting that
may include information on APCUG and
Mindshare, vendor hand-outs, selling raffle tickets, pre-owned software, hardware, books, shareware and public domain software. Proceeds go to help support the club and benefit all club members. A column in the Bytes and Bits Newsletter letting members know what software/hardware,
etc. is available or "for sale" is required periodically. The Chair is responsible appointing committee members to help set up, sell software and raffle tickets, take in $5.00 deposits and keep records for the lending library
(if utilized), assist members in filling out vendor discount and special offer forms, etc. You, and the Library Committee Members, are responsible for getting all Library materials to the General Meeting and storing them in between times. The Chair is also responsible for identifying, downloading, storing, virus checking and zipping
shareware, freeware and similar software to be sold in the library. A Library inventory
should be kept. See the Board of Directors and Committee Chairs for a list of current committee member positions.
Membership Chairperson: The Membership Chair has an essential job, and is responsible for meeting, greeting, and signing up prospective new members at the Membership table set up on the right hand side of the door at every General Meeting, and accepting renewals from current members. The job requires at least one committee member to
assist, and one or two members responsible for welcoming new members. [See
Membership Committee - Welcome]. You will display ACUG membership brochures, which include membership forms, accept membership checks and payments, hand out new member packets,
which could include an ACUG Membership CD to new members, and coordinate with the Secretary / Treasurer on printing New Member badges. In addition, you will hand out any vendor goodies given to the club to promote the software/hardware being featured at that meeting, to ACUG members only. These items are given out on the principle of "one per membership", and "first come, first served", unless otherwise instructed by the vendor. You
may offer a form so that members can update their information if necessary, and you will be supplied with a current list of members by the Secretary so that you can remind members of the fact they need to renew. You will also coordinate with
the members of your committee responsible for the welcoming of new members. [See
below]
APCUG Representative: The Association of PC User Groups Representative is the liaison between ACUG and the International body. You may receive messages and materials that you will have to pass to the Board of Directors. You will vote for the club during elections held by the APCUG. There may be questionnaires and surveys to fill out and return. Every year after the ACUG elections, a new updated form must be sent to the APCUG with information about the new officers. In addition, the form should be updated and sent when adding new SIGs. If possible, you will represent the club at COMDEX and at Region 6 gatherings.
Historian: The Amador Computer User Group Historian is responsible for keeping the history of the club up to date. Major events should be recorded such as the adding of new SIGs, changes in officers, new policies, annual event coverage, etc. This history should be updated periodically. The Historian may take photographs
or shoot video to document events, or arrange for others to do so. The Historian
should keep paper historical records as necessary and back up files to CD-RW or
other storage for archival purposes.
Webmaster: The ACUG Webmaster must be proficient in HTML and Web design and must maintain the club's Web Pages. This
may include, but is not limited to: writing copy and updating the monthly program schedules,
updating the last meeting, including raffle and auction prize winners, supplying
Web optimized graphics and photos, updating member's email addresses, member Web pages, adding in special messages from the President, updating the Vendor Discounts and Specials page, checking links and repairing them monthly, adding links, pages, graphics, etc. as necessary.
It also includes creating and uploading articles for Bytes & Bits
Online, setting up password protection for the "Members Only"
directory and changing passwords mid-month, working with the Goldrush ISP on
technical issues, notifying Board members of password changes, articles and events. Currently, it requires an account with Goldrush World Access, as they are sponsors of ACUG's
Website.
The Webmaster may require an assistant and works with all Board members and
officers.
Hospitality Chairperson: The Hospitality Chair is responsible for coming in a half hour early to the General Meeting and setting up coffee, tea or punch with cookies for the membership. You are responsible for buying supplies such as cookies, coffee, tea, punch, napkins, cups, spoons or what ever may be required and will be reimbursed by the Board for expenses. During the Annual Potluck and Goodies night, and the Annual Picnic the club will also supply soft drinks and plates. The club currently owns its own coffeepot, but you may be required to furnish a punch bowl or ice chests.
Committee Members: As you can imagine, some of these jobs require more than one person to get it all done. If you are able to help any of the above Chairs, come forward and volunteer your services, they will be gratefully accepted, or you will be directed to a Chair who really needs you!
For example:
Membership Committee - Welcome to New Members: The Membership Welcome
Committee member is responsible for meeting and greeting members, guests and
possible new members at the door during the General Meeting. You will see that
potential new members are made comfortable and given every consideration and
attention. Be sure to offer them refreshments, and introduce them to others. You
will give them a tour of the library and make sure they are informed of how the
club works, pointing out the membership brochures at the Membership table, talk
about all the benefits of membership and generally promote the club. Visitors
need not become members at the first meeting. The public is welcome at all ACUG
meetings, but should be gently encouraged to join. You should familiarize
yourself with the information found in the New Member Disk, and the brochure, so
as to be able to answer most general questions. You may find it helpful to print
out the membership disk, and a few pages of the ACUG Website and place the
information in a binder so that you can show as well as tell. This job may
require several committee members to assist. You will also coordinate with the
Membership Chair and the Library Chair.
If you are considering the positions of President, Vice President, Secretary/Treasurer,
or one of the Director positions, please let the nominating committee know your
decision as soon as possible so that your name can be placed in nomination at the November
meeting. Elections will be held at the December meeting. Inauguration of
Officers is held at the January meeting. Other positions are filled by
appointment of the elected officers, or the Committee Chairs. (If you are willing to help out, let us know, the job is yours!)
